AuralMinutes Privacy Policy

DRAFT. NOT LEGAL ADVICE. This document was prepared as a working draft for Fluxion Interactive. It has not been written or reviewed by a qualified lawyer. Before you publish it, submit it to a solicitor or attorney qualified in your jurisdiction, and have them confirm it against the current App Store Review Guidelines, Google Play Developer Program Policies, the UK and EU General Data Protection Regulations, and the California Consumer Privacy Act as amended. Replace every placeholder in square brackets before publication.

The short version

AuralMinutes turns a recording of a meeting into a transcript, a set of notes and a document. By default all of that work happens on your phone.

  • Your recordings, transcripts and documents stay on your device, unless you choose to send one. Transcription happens on your phone by default. For a single meeting you can choose to have it transcribed, or its minutes written up, in the cloud instead. That is the only route by which a recording or a transcript leaves your phone. It is never automatic, never the default, and section 3.4 sets out exactly what happens.
  • An account is optional. You need one only for the Pro and Max plans, because their cloud allowance belongs to you rather than to one phone. Recording, on-device transcription, the minutes editor, PDF export and the Plus plan all work without one.
  • What we hold is small. If you create an account we hold your email address, an account identifier, which plan you have, and how much of your cloud allowance you have used. We do not hold your meetings. Audio and transcripts you send for cloud processing are kept only until the result reaches you.
  • No advertising, no analytics, no tracking, on any plan, paid or free.

The rest of this policy explains all of that properly, because both app stores and the privacy laws that apply to you require it.


1. Who we are and how to reach us

Fluxion Interactive publishes AuralMinutes.

For the purposes of the UK GDPR and EU GDPR, Fluxion Interactive is the data controller for the account, purchase and cloud-processing data described in sections 3 and 5, and for correspondence you send us. For everything that stays on your phone, there is no controller relationship with us, because we never receive it.

If your organisation requires a Data Protection Officer contact, or a representative in the EU or UK, write to us at the address above. [Confirm with your lawyer whether Article 27 requires you to appoint an EU or UK representative now that accounts and cloud processing exist, and amend this paragraph accordingly.]


2. What AuralMinutes stores on your device

Unless you turn on the recovery folder described below, everything AuralMinutes creates is written to the private storage area that your phone reserves for the app. Other apps cannot read it. We cannot read it. It stays there until you delete it or delete the app.

That storage holds:

None of this is transmitted to us. There is no synchronisation of your meetings, no backup to our systems, and no “anonymous” or “aggregated” copy sent anywhere. The one exception is a meeting you choose to send for cloud processing, described in section 3.4.

Your own device backups. If you have turned on your phone’s own backup service (iCloud on iOS, or Google’s backup on Android), your phone’s operating system may include AuralMinutes’ data in that backup. AuralMinutes does not exclude itself from those backups, so if you have that service turned on, your recordings and transcripts are included in it. That is a function of your phone, controlled by you in your device settings, and it is governed by Apple’s or Google’s privacy policy, not ours. If you would rather they were not backed up, turn the backup off for AuralMinutes in your device settings.

The recovery folder, if you choose one. Private app storage does not survive deleting the app, so AuralMinutes can also keep a complete copy of each project, the recording included, as a single file in a folder you pick yourself. That copy is what lets your meetings come back after you reinstall. It lives wherever you put it, and it is outside the app’s private area by design: if you pick a folder your phone synchronises to iCloud Drive, Google Drive or another service, that service receives those files and handles them under its own privacy policy, not ours. Nothing is written there until you choose the folder, and you can change it or stop using it in Settings.

Anything you export or share is then yours to control. When you export a document, or send a transcript to someone, it leaves the app because you told it to. Where it goes after that (email, a messaging app, cloud storage, a printer) is outside our control and covered by the privacy policy of whichever service you sent it to.


3. When AuralMinutes uses the network

We want to be exact about this, because a vague claim would be worse than no claim.

3.1 The files that understand speech: no download, no network

AuralMinutes needs a set of additional files in order to understand speech, tell voices apart and translate on your phone. Those files ship inside the app itself. They arrive as part of the app download from Apple’s App Store or Google Play, and the app copies them out of its own package the first time it needs them. No network request is made to fetch them, and nothing is uploaded in the process.

3.2 Purchases

If you buy AuralMinutes Plus, Pro or Max, the purchase is made through Apple’s In-App Purchase system or Google Play Billing. We use RevenueCat, a purchase-management service, to confirm purchases with the store and to tell the app which plan you have.

  • We never see your payment details. We never receive your card number or billing address.
  • RevenueCat receives the store’s receipt for your purchase and a random identifier for your copy of the app. If you are signed in, it also receives your account identifier, so that a Pro or Max plan can follow you to your other devices.
  • The store’s own privacy policy governs the payment itself.

3.3 Your account, if you create one

You can sign in with Apple or with Google. We receive your email address (which may be a private relay address if you choose Hide My Email) and an identifier for your account. We do not receive your password.

We use this only to know which plan you have, to keep track of your cloud allowance, and to let you use the same plan on more than one device. Signing in does not upload your meetings. Your account is stored by Supabase, our hosting provider, in [Before publication: name the Supabase region chosen for the production project].

You can delete your account at any time in the app, under Settings, Account, Delete account. See section 7.

3.4 Cloud transcription and written-up minutes, only if you ask for them

Transcription and minutes normally stay on your phone. With Pro or Max you can choose, for a particular meeting, to have it transcribed in the cloud, or to have its minutes written up in the cloud from its transcript.

  • It is never automatic and never the default. The app asks you, for that meeting, and names who will process it before anything leaves your phone.
  • For cloud transcription, that meeting’s recording is uploaded. For a written-up set of minutes, that meeting’s transcript, the speaker names you have given, and any notes you have already written are uploaded.
  • The processing is done by Google’s Gemini service, which we use as our processor under its paid terms. [Before publication: confirm in writing that the paid service does not use the content to train or improve Google’s models, state the region where processing happens, and link Google’s terms.]
  • What you send is kept only until the result has been delivered to your phone, and deleted within 24 hours at the latest, whether or not it was delivered.
  • We keep a record of how much of your allowance each request used (the length of the meeting and the amount of processing, never its content), so that your allowance is correct and so we can answer a question about a charge.
  • If you never choose cloud processing, none of your recordings or transcripts leaves your phone by this route.

3.5 The quick summary on iPhone

On iPhones that support it, AuralMinutes can write a quick summary using the phone’s own built-in language model. That summary is written on the phone and nothing is sent anywhere.

3.6 The launch list on our website

If you join the launch list on auralminutes.com, we keep your email address and which phone you use, and nothing else: no name, no IP address, no cookies. We use it only to send one email when AuralMinutes launches, and delete the list once that email has gone out. To be removed sooner, write to privacy@auralminutes.com. The list is stored by Cloudflare, which hosts the website.

3.7 Nothing else

AuralMinutes contains no advertising networks, no analytics services, no crash reporting services, no attribution or tracking software development kits, and no social media integrations. It does not contact any address on the internet other than as described above. If a future version of the app needs to change this, we will update this policy and say so clearly in the app before the change takes effect.


4. Permissions the app asks for

Notifications (optional) On Android, to show progress while a long meeting is being processed. You can decline this and the app still works.
Files / storage access (only when you choose it) So you can import an existing audio file, or save an exported document where you want it. AuralMinutes sees only the file you pick.

AuralMinutes does not ask for your location, your contacts, your calendar, your photo library (other than a single image if you choose to add a letterhead logo), your call logs, or your device’s advertising identifier.


5. What personal data we collect, and why

Only what the features you choose to use require:

We do not sell any of this, we do not use it for advertising, and we do not combine it with data from anywhere else.

Please do not send us recordings or transcripts by email. If you are reporting a problem, describe it in words. If we ever ask you for a file in order to diagnose something, that request will be explicit, you can always say no, and we will delete the file once the issue is resolved.


6. Children’s privacy

AuralMinutes is a business tool intended for adults. It is not directed at children, we do not market it to children, and it contains no content designed to appeal to children.

We do not knowingly collect personal information from children. Accounts are for adults, and the app should not be used by children under 13 (or the equivalent minimum age in your country) without a parent or guardian’s involvement. [Confirm with your lawyer whether the account features bring the app within the UK Age Appropriate Design Code.]

If you believe a child has given us personal information, write to us and we will delete it.


7. How long anything is kept, and how to delete it

On your device: for as long as you want, and not a moment longer than that. AuralMinutes does not expire your meetings or delete them on a schedule.

  • To delete a single meeting (with its audio, transcript, summary and any exports still held inside the app), delete it from the meeting list in the app.
  • To delete everything at once, uninstall AuralMinutes. On both iOS and Android, uninstalling removes the app’s private storage, which is where all of it lives.
  • Documents you have already exported and saved elsewhere are not affected by either of the above. Those are separate copies that you now control.

On our systems:

  • Your account is kept until you delete it. Delete it in the app under Settings, Account, Delete account, or by writing to [CONTACT EMAIL]. Deleting it removes your email address, your account identifier, your plan record and any files still stored for you. Your meetings on your phone are not affected.
  • Recordings and transcripts sent for cloud processing are deleted once the result has been delivered, and within 24 hours at the latest.
  • Allowance usage records are kept while your account exists, and afterwards only as long as tax and accounting law requires for the purchase itself. [Before publication: confirm the retention period with your accountant.]
  • A store subscription is not cancelled by deleting your account. Cancel it in your App Store or Google Play settings.

8. Your rights

If you are in the UK or the European Economic Area

The UK GDPR and EU GDPR give you rights over personal data that an organisation holds about you: access, rectification, erasure, restriction of processing, portability, and objection to processing, along with the right not to be subject to solely automated decisions with legal or similarly significant effects.

In practice:

  • Data in the app is under your direct physical control. You can read it, edit it, correct any name or wording the app got wrong, export it in a standard document format, and delete it, all from inside the app, without asking us.
  • Your account data (section 5) can be deleted in the app at any time. To see a copy of it, correct it, or exercise any other right over it, email [CONTACT EMAIL]. We will respond within one month, as the law requires.

AuralMinutes does not make any automated decision about you that produces legal effects. It transcribes, translates and summarises the audio you give it, and everything it produces can be edited by you.

You have the right to complain to a supervisory authority. In the UK that is the Information Commissioner’s Office (ico.org.uk). In the EEA it is the data protection authority for the country you live in. We would ask you to raise it with us first, but you do not have to.

If you are in California

Under the California Consumer Privacy Act as amended by the California Privacy Rights Act:

  • We collect the following categories of personal information, only from people who create an account, buy a plan or use cloud processing: identifiers (email address, account identifier), commercial information (the plan you bought), and, briefly and only when you choose it, audio or electronic information (a recording or transcript you send for processing). Section 5 sets out why.
  • We have not sold personal information, and we have not shared it for cross-context behavioural advertising.
  • We do not use or disclose sensitive personal information for any purpose that would give rise to a right to limit its use.
  • You may ask to know, delete or correct the personal information we hold about you at [CONTACT EMAIL], and you can delete your account in the app.
  • We will not discriminate against you for exercising any privacy right.

Note that the audio recordings you make may themselves contain personal information about you and about other people. That information is in your custody, on your device. If someone asks you to delete a recording of them, you are the person who can do it. See section 9.

Other US states and other countries

Comparable rights exist under laws in Virginia, Colorado, Connecticut, Utah, Texas and a growing number of other states, and under legislation in Canada, Australia, Brazil and elsewhere. Our answer is the same everywhere: we hold only the account data in section 5, you can delete it in the app, and the app’s data is in your hands. Contact us at [CONTACT EMAIL] if you need that confirmed for a particular jurisdiction.


9. Your responsibilities when you record other people

This is a privacy policy, so it explains what we do with your information. But AuralMinutes records people, and it is worth saying plainly here as well as in the Terms of Use:

When you record a meeting, you become responsible for everyone else’s information in that recording.

The law on recording conversations varies considerably. Some places require only that one participant knows (that would be you); others require that everybody in the conversation consents; and some make it a criminal offence to record without that consent. In the EU and UK, recording a meeting for work purposes generally makes your organisation a data controller for the personal data in that recording, with the obligations that follow.

AuralMinutes gives you a tool. It cannot obtain consent for you, and it does not know where you are or who is in the room. Tell people they are being recorded, get their agreement, and follow whatever rules apply to you. If someone withdraws consent or asks to be removed, delete the meeting in the app.


10. Security

On your phone, AuralMinutes relies on the security the phone already provides: app data is written to the app’s private storage, which the operating system protects from other apps and encrypts on a locked device.

For accounts and cloud processing, everything travels encrypted. Each account can reach only its own records; this is enforced by the database itself, not only by the app. Recordings and transcripts sent for processing are kept only as long as section 7 says.

The main risks to your meeting data are still ordinary device risks: someone else having your unlocked phone, a device backup you did not intend, or a document you exported and then sent to the wrong person. Use a strong device passcode, keep your phone’s software up to date, and be careful where you send exported documents.

No method of storing information is perfectly secure, and we cannot guarantee absolute security.


11. International transfers

Your account data is stored in [Before publication: name the Supabase region chosen for the production project]. Purchase confirmation by RevenueCat and the stores happens on their own global infrastructure under their own transfer arrangements.

If you choose cloud processing for a meeting, that recording or transcript is sent to Google’s Gemini service and may be processed outside your own country. [Before publication: state the processing region and the transfer mechanism, such as the UK International Data Transfer Addendum and the EU Standard Contractual Clauses, once confirmed.] This happens only for the meetings you choose, and the app tells you before it happens.


12. Third parties

  • Apple Inc. distributes the app, processes purchases on iOS, and provides Sign in with Apple. See apple.com/legal/privacy.
  • Google LLC distributes the app, processes purchases on Android, and provides Sign in with Google. See policies.google.com/privacy.
  • RevenueCat, Inc. confirms purchases with the stores and tells the app which plan you have (section 3.2).
  • Supabase, Inc. hosts accounts, allowance records and the temporary storage of anything you send for cloud processing (sections 3.3 and 3.4).
  • Cloudflare, Inc. hosts auralminutes.com and stores the website’s launch list (section 3.6).
  • Google LLC, through its Gemini service, processes the recordings and transcripts you choose to send, and nothing else (section 3.4). The app names it on the screen that asks whether to send a meeting.

That is the complete list. There are no advertising partners, no analytics providers and no data brokers.

AuralMinutes includes open-source software components. These run entirely on your device and send nothing anywhere. Their licences are listed in the app under Settings.


13. Changes to this policy

If we change this policy, we will update the date at the top and publish the new version at the same address. If a change is significant (in particular, if the app begins to collect information this policy does not describe), we will tell you inside the app before the change takes effect, and where the law requires it, we will ask for your consent rather than assume it.

Previous versions are available on request from [CONTACT EMAIL].
